The Position:

We are currently seeking a Sample Specialist . This position is primarily responsible for managing the sample program. This individual will provide these services through our external third-party company by providing guidance and processes for them to follow.  

In addition, this role focuses on pricing issues and resolution of the order management process.   This will require close coordination with all Sales Division Product Managers to investigate and release Sample Order (SO) pricing blocks daily.

This role will include various routine administrative duties and reporting but will also require the ability to manage various ad hoc projects as required. There is the opportunity to learn and become the back-up person for the broader order management team.

What you’re responsible for:

  • Responsible for ensuring all sample receipts, shipments, and disposals are managed in accordance with company guidelines and policies
  • Taking complete initiative of improving the current process in cost efficient ways
  • Assist third party back office centre (BOC) partner to process daily updates on sample registration status and movements on SAP
  • Assist third party BOC partner to create and distribute of customer invoices for sample sell-out and lost units
  • Perform invoice validation for storage, freight, and administration costs related to samples
  • Producing and presenting accurate monthly variance reports on sample marketing expenses and provide recommendations on cost reduction and efficiencies
  • Creation and distribution of customer invoices for sample sell-out and lost units
  • Regularly track samples in-use and ensure all samples are returned before contract expiry date
  • Effectively communicate with divisional sample managers to ensure all samples are actively used, and minimize aging inventory
  • Perform off-balance inventory count semi-annually and reconcile if differences noted
  • Reconcile data between 3rd party managed inventory data and SAP data
  • Preparing a monthly analytical report on sample assets usage per product divisions and operation efficiencies to the senior management team
  • Preparing and submitting monthly off-balance sheet on sample inventory
  • Consistently monitoring and controlling the entire sample operations in accordance with the HQ's policy daily while also ensuring finance KPIs meet company targets
  • Assessing initial approval of sample inventory requests and checking the eligibility while maintaining efficient sample pool size directed by senior management team.
  • Provide daily SO PR report to division.
  • Daily, review all pricing related order blocks and investigate and release orders through SAP
  • Work with sales division PMs to resolve all price blocks are released in a timely manner
  • Make sure SO pricing release follows order management policies and work with Pricing Operations Coordinator to improve the company’s pricing process overall

 

To join our team:

  • University degree or college diploma preferred (preferably in business or similar focus)
  • 3 plus years of order management and inventory management experience preferred
  • Demonstrated ability to interact with all levels within the organization
  • Previous operations exposure is beneficial
  • Enterprise Reporting System exposure (preferably SAP) is ideal
  • Proficiency in Excel, Word, PowerPoint and other office products
  • Customer relationship management skills
