About the role:

The Travel Coordinator is responsible for tracking expenses, reconciling expenses, and booking all travel-related accommodation, flight, hotel, vehicle rentals for our field teams. The Travel Coordinator is also responsible for reviewing expenses and provides organizational and administrative support within that affects the Payroll Department, ultimately resulting in the process and procedures of internal payroll process.

 

 A little more about the role and responsibilities:

  • Maintains receipts and enters them into our expense platform
  • Reconciles expenses
  • Manage inboxes, addressing employees’ inquiries in a timely manner
  • Assist in the educating new hires on the basics of system usage and reiterating best practices for existing staff
  • Provide input into the improvement of our expense and payroll processes
  • Expense Auditing: reviewing expense submissions to ensure they align with the rules and requirements of OSL’s expense policy
  • Tracking and reporting: Excel, ADP, Concur
  • After hours/mixed support for booking hotel, Flight, and/or car reservations
  • Prepare detailed itineraries for travelers, including all necessary information such as reservations, directions, etc.
  • Obtains approval from leadership for travel requests and expenses that exceed established limits.
  • Advise travelers of and assist with any need for specialized travel documents such as visas or passports
  • Monitors and facilitates the use of company air travel credit cards, frequent flyer programs, and other applicable rewards and loyalty programs
  • Researches and compares available travel and hotel accommodations to identify the best available option for each travel need
  • Maintain expense platform settings and respond to ad-hoc tickets
  • Assist with internal incentive logistical initiatives

 

Who we’re looking for:

  • Excel skills
  • SAP Concur experience is an asset
  • ADP WFN experience is an asset
  • Proficiency in MS Suite is an asset
  • Egencia experience is an asset
  • Self-starter who can work independently or in groups
  • Ability to multitask
  • Excellent interpersonal, organizational and time management skills
  • Excellent communication skills and ability to work with internal stakeholders on payroll, expense, and travel issues
  • Highly adaptive, organized, and detailed orientated
  • Ability to work in a fast-paced environment
  • Bilingual: ENGLISH and FRENCH considered an asset
